MS Word File Properties

For knowing the details of file we right click the file and select the properties option. Sometime after the file creation, we come to know that file size is more than what is expected.

Thus users have other idea of saving the same file with different format for size reduction policy .Thus is it possible to view the properties of file while it is being saved for the first time.. ?

Yes its possible, but for that we have to enable certain conditions. The viewing of file size feature is enabled in MS Word. For that you have to go to the "Tool" menu. In that select "Options" and in that further select the "Save" tab.

In the current window opened, select "Prompt for Document Properties". This must be enabled for knowing the properties of file.

In some MS Word document, if the author information is not needed, then this feature has to be disabled. For that select "Tool" menu.

In that select "Options". From the various tabs available select the "Security" tab.Then enable "Remove Personal Information from Properties on Save" option.

Finally if other users should not know that you have recently viewed certain document, then for that you have to goto "My Recent Documents" select "Tools".

In the obtained folder just delete all the shortcuts and refresh it. Then the recent documents viewed will show as empty.

Thus by knowing certain properties available in MS Word, we can maintain our size, privacy and other security aspects..

Text Formatting Without WordArt

Without WordArt, is it possible to do text formatting(like rotation of text) in MS Word Documents.Do we have any straight command Let us see here.

While preparing the MS Word document, if other readers pay attention to way of text formatting done by user then its a good point for document writer.

Without WordArt, text formatting cannot be done with single command.The following steps have to be used for our own text formatting.

First select the text characters for which formatting has to be done,apply your own font style,size and color to selected text.

The selected text is being cut using Ctrl + X keys or by cut option in Edit menu.

After this, in Edit menu select "Paste Special" option.In the Paste Special Window,select "Picture" option and paste the text in desired location.

Now your text portion has become a picture and it is being merged with document.

In the edge of picture, there are handles. You can use it for rotation, diminishing, elongating processes.

Thus now the selected text is formatted in your own way and can grab special attention of the document Readers..

Insert Key for Pasting

In Keyboards, There are many toggle keys. Here Insert Key(Ins) which is also toggle in nature is discussed for some actions.

Insert Key also can perform two kinds of functions.First being inserting the text in between two or more texts.This insertion does not affect the nearby text.

The second being if insertion is done then selected text is being replaced.

We can also set a special function to Insert key (Ins). We copy the selected file or folder using the Ctrl + C keys.And for pasting we use either "Paste" command or Ctrl + V keys.

For this pasting, Insert key can also be used. For enabling such option, Go to Tools menu and click Options. Then from the various tabs select Edit tab. In that just tick the checkbox showing "Use the Ins Key for Paste" then click OK.

Thus after copying files, then in your desired folder press Insert Key (Ins) for pasting..

MS Excel Shortcut Keys

There are some shortcut keys which we may not be using in regular way. These shortcut keys for MS Excel are useful for all formatting,writing comments,charts,dialog box etc..

The Shortcut Keys are given as follows :

F1 :
Help Task Pane is opened.This gives some tips regarding Excel sheet.

F1 + Ctrl :
Used for opening/closing the help window.

F2 :
Used for renaming the text in currently active cell in Worksheet.

Shift + F2 :
Writing in the comment box for the currently editted cell.

Alt + F2 :
When pressed, opens the Save As.. dialog box.

Shift + F3 :
When pressed, the Insert Function dialog box is opened.

Ctrl + F3 :
When pressed,the Define Name dialog box is opened.

Ctrl + Shift + F3 :
When pressed, opens the Create Name dialog box.

F4 :
When pressed, re-executes the last given command.

Ctrl + F4 :
When pressed, Closes the current Workbook Window.

Alt + F4 :
When pressed, closes the MS Excel Application straightly.

F5 :
When pressed, Opens the Goto dialog box.

F6 :
When pressed, this combination keys switches over from help and application windows.

F7 :
Used for Spell Checking in the current Excel WorkSheets.

Ctrl + F9 :
When pressed, Minimizes the Workbook Window.

F10 :
This key usage is common in all applications.When pressed opens the MenuBar.

Ctrl + F10 :
When pressed, opens the window which are minimized.

F11 :
When pressed, Creates a chart based on the existing range.

Shift + F11:
When pressed, opens New Worksheet.

Shift + F12 :
When pressed, the current workbook is being saved.

Ctrl + F12:
When pressed, the Open Dialog box is being opened.

Ctrl + Shift + F12 :
When pressed, opens the Print dialog box.

These are the shortcuts being used for quick formatting of the Worksheet..

In ExcelSheet

While we are working in MS Excel Worksheet suddenly we may get #### in cells. We have not typed these characters but it appears in screen suddenly.And sometimes we may get 2E+15 in cells of Excel Worksheet.Let us see the reasons for the cell based errors below

Why #### ?

Whenever you are giving a number(very large number) in cell, if cells in Excel WorkSheet cannot able to hold the number then it may print these characters in cells.

Thus cells here are not able to hold such large numbers.Thus it prints #### characters in the user specified cells

Why 2E+15 ?

This is scientific notation of number that the user has specified.If the cell size is not enough then large numbers(to some limit) are printed in the scientific notations. If cell formatting is not done, then also this notation is displayed.

If the cell formatting is done in best way then proper number representation is obtained(no other number notations are obtained). There are some solutions for cell formatting which are as follows:

First Solution is by giving each cell bigger size. Thus if size is large, then numbers are displayed properly(thus column size is expanded here).

Secondly the cells are aligned according to AutoFit option. AutoFit adjusts the cells and entire numbers are displayed correctly without any flaws.

We must enable the AutoFit Option. Thus we must select format menu -> Column Option. In that "AutoFit Selecion" must be enabled for proper display of large numbers.

MS Word Shortcut Keys

There are some shortcut keys which we may not be using in regular way.
These shortcut keys for MS Word are useful for all formatting,editing page layout,marking pages etc..

The Shortcut Keys are given as follows

Ctrl + H :
When pressed,selected text can be replaced with another text.
A replace text dialog box will appear..

Ctrl + G :
When pressed, gives us option for selecting the particular page, bookmark, footnote, table using their corresponding page nos,bookmark entries etc.
Here also Find and Replace dialog box appears..

Alt + Ctrl + I :
When pressed, print preview of current page is shown.
Thus indirectly the Print Preview option available in File Menu is being called..

Alt + Shift + O :
When pressed, ask text for maintaining table of contents.
Here Mark Table of Contents Entry dialog box appears..

Alt + Ctrl + F :
When pressed, creates a foot note for the current page.
At the last the footnote appears along with numbers where u can specify ur notes..

Alt + Ctrl + D :
When pressed, creates an end note for the current document.
Likewise the footnote, point appears and there u can specify ur end note for the document..

Shift + F1 :
When pressed, will display various text formatting done on the current page.
In the Right Hand Side(RHS) a Reveal Formatting box appears..

Alt + Shift + D :
When pressed, will create date field in the current page.
The current System date is being assigned in the document..

These are the shortcuts being used for quick formatting of the document..

Information on MS Office

In most of the computers(PC),MS Office Package is best application software being used.
Many users name this MS Office Package as Office Systems.

On Jan 30,2007 Office 2007 was launched along with Windows Vista Operating Systems.
But Office was first launched with Windows OS in 1990.

Earlier versions basically included

MS Word
MS Excel

In early days,for Spread Sheet applications, Lotus 1-2-3 was used but after the arrival of Excel, many softwares last their popularity

MS WORD,MS EXCEL,MS POWERPOINT are the applications mainly used by the users.In PowerPoint text,graphics,movies,music can be shown using the SlideShow Option.

Eventhough MS Office 2007 was launched earlier,still MS Office 2003 is being used in major scale till now
